Position Summary
The Office Administrator/Bookkeeper serves to ensure the smooth day-to-day function of the church office while maintaining accurate and transparent financial records. This individual is a trusted steward of both the church's administrative affairs and its financial resources, supporting the pastoral staff, congregation, and ministry teams with excellence, discretion, and a servant's heart.
Key Responsibilities
Office Administration
Bookkeeping & Financial Management
- Manage the daily operations of the church office, including phones, correspondence, scheduling, and visitor reception
- Maintain and organize church records, membership databases, and filing systems (physical and digital)
- Coordinate facility use scheduling for services, events, and community rentals
- Prepare and distribute bulletins, newsletters, announcements, and other communications as directed
- Order and manage office supplies and equipment
- Serve as the primary point of contact for staff, volunteers, vendors, and congregants
- Support pastoral staff with administrative tasks, calendar management, and meeting coordination
- Assist in planning and logistics for church events, weddings, funerals, and special services
Bookkeeping & Financial Management
- Reconcile tithes, offerings and donations. Record and reconcile all financial transactions and expenditures.
- Process accounts payable and accounts receivable in a timely and accurate manner
- Maintain the general ledger and prepare monthly financial reports for leadership and the finance committee
- Manage payroll processing for staff and maintain related tax records and filings
- Prepare and submit annual annual tax documents (e.g., 941s, W-2s, 1099s)
- Assist in developing and monitoring the annual church budget
- Coordinate with the church's external accountant or auditor as needed
Qualifications
Education & Experience
Skills & Competencies
- High school diploma or GED required; Associate's or Bachelor's degree in Business Administration, Accounting, or a related field preferred
- Minimum 2–3 years of experience in office administration and/or bookkeeping
- Prior experience in a church, nonprofit, or ministry setting is a strong plus
Skills & Competencies
- Desired skills and competencies in accounting software (QuickBooks, or church-specific platforms such as Shelby, ACS, or Planning Center)
- Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook) and/or Google Workspace
- Excellent organizational skills with strong attention to detail
- Ability to handle sensitive and confidential information with absolute discretion
- Strong written and verbal communication skills
- Ability to work independently and manage multiple priorities effectively
- Warm, professional, and welcoming interpersonal manner

Compensation & Benefits
- $20-$25/hr - Salary commensurate with experience
